SECTION 1:                    MEETING INFORMATION

The Annual Meeting for the Villages of Five Points Property Owners Association, Inc will take place as follows:

DATE: Saturday June 12, 2021

TIME: In Person Voting 8AM to 10AM – Virtual Meeting Begins at 11AM

PLACE: Virtual Online Meeting via Zoom & In Person Voting at The Villages of Five Points Community Center.

At this meeting there will be an election of seven (7) Village specific Board Members and two (2) At Large Members.  Owners will vote for their village-specific director while the two at-large directions will be elected by the total community

There will also be an election of Village Resource Group Members(s).  Up to three (3) for each village.

The Call for Candidates period has ended on Saturday May 8, 2021 at 5:00 PM.  Any additional nominations may be made from the floor at the Annual Meeting. Nominations from the floor will not be included on the voting ballot and will require a write in vote at the Community Center the day of the meeting.  See information below regarding the meeting process.

Due to ongoing Covid restrictions, this year’s meeting will differ from years past.  We are offering the option of an Online Directed Proxy which allows you to select the Candidate(s) of your choice.  Using this option helps reduce in person interaction and less risks of Covid exposure.  It is easy and will take only a few minutes to complete.  Additional details are in the following pages.

SECTION 2:                          MEETING PROCESS


HOW WILL THE MEETING WORK?
  • Now - Friday June 11, 2021 at 12:00 PM - Online and Paper Directed Proxy Forms will be accepted.  Proxy forms have the option to indicate (direct) your candidate choice.
  • Saturday June 12, 2021 - 8:00 AM to 10:00 AM - In person voting will take place at the Community Center.
  • Saturday June 12, 2021 - 10:00 AM to 11:00 AM - Community Center will close, and quorum counts will be determined.
  • Saturday June 12, 2021 - 11:00 AM - The Zoom virtual meeting will begin.
    • Quorum determination will be announced.  Meeting will proceed if quorum is met.
    • Nominations will be accepted from the floor as required per our By-laws
      • In the event that someone is nominated from the floor, Any member who wishes to change their ballot may do so in person at the Community Center.  Any ballot changes must take place before 12:00 PM on Saturday June 12, 2021.
    • The only business which will take place is ratification of the prior Annual meeting's Minutes.  No other business will take place. See agenda.
  • Saturday June 12, 2021 - 12:00 PM until complete - Premier Property Management will review all proxy and ballot information to ensure voting integrity and final vote counts.  The elected candidates will be informed of the results.  After informing each of the newly elected candidates, an email will be sent to the community with the results.  A notice will also be published in the following Five Points Friday Newsletter. 
HOW WILL I VOTE?
  • Online Directed Proxy - This is the simplest and safest way for you to ensure your vote is castThere is no need to attend in person. This option allows you to select (direct) your candidate(s) of choice.  The Community Manager receives your electronic proxy upon submission and a member of the Association will cast your vote in accordance with your specific candidate selections.

    • Submit the form before Friday June 11, 2021 at 12:00 PM

  • Paper Directed Proxy - This option allows you to designate a specific person as your Proxy Holder who will vote on your behalf in person at the Community Center
    • The Paper Directed Proxy Form is below on this page.
    • Your form must be received by Premier Property Management before Friday June 11, 2021 at 12:00 PM or your designated Proxy Holder may present it in person at the Community Center on Saturday June 12, 2021 between 8:00 AM & 10:00 AM
    • You may select your candidate of choice or leave it blank for your Proxy Holder.
      • If no specific Proxy Holder is named, and no specific candidate(s) are selected, your Proxy will be used for Quorum Only.  A member of the Association will NOT cast a vote on your behalf

  • In Person - Community Center June 12, 2021 8:00 AM to 10:00 AM
    • Capacity limits and other restrictions will be in place due to Covid requirements at the time of meeting.
    • A face mask must be worn to enter the building.
    • Members will register, vote, and exit the building.  Members will not be permitted to remain in the building after voting.

Only one Online Proxy per lot/home/unit. Submitting more than one will cancel any previous proxy forms.   
If you own more than one lot/home/unit, please submit the appropriate proxy for each one under the correct village link
